LIVE ACTION ROLE-PLAY GROUPS - L.A.R.P.

LARP groups are welcome at Johns Lee Wood although we do limit bookings to one group per month from November through to May (inclusive). Whole-Site exclusive bookings are required and will be charged for a minimum of 60 people.

BOOKING INFORMATION - LARP GROUPS

You would have exclusive use of the four cabins & the entire campsite with the exception of the following areas; the log sleeping shelters, our activity areas, the chapel, the warden’s cabin & surrounding staff areas & any areas cordoned off for safety/maintenance. 

Staff will normally be on site during the weekend and will often be carrying out maintenance work on-site and/or on buildings. If you have a particular need for privacy in a certain area or at certain times please specify this in the comments box on the booking request form.

Arrival and Departure
On arrival onsite please check-in with the Duty Wardens who will do a cabin check with your representative. For information on arrival and departure times please click here or visit our site rules.

Please note - ALL cabins need to be emptied, cleaned & ready for inspection by 3pm on day of departure. If they are not ready you may be subject to a late check-out fee being added to your invoice.

Catering equipment hired needs to be clean, dry and ready for inspection by 2pm on day of departure.

We suggest you arrange a site visit through our bookings secretary before requesting a booking, so you can assess the facilities available and see that the site meets your needs.

  • Tents are NOT to be pitched on ‘The Green’ (the area immediately outside the Harry Walker Cabin) under any circumstances.

  • We do NOT allow anything to be fixed to the internal or external structure of the buildings other than by use of the hooks that we have provided around the tops of the internal walls. Any damage caused by using other methods will be charged for.

  • If you need to blank out the windows this must ONLY be done by blu-tack on the GLASS and NOT by any method on the paintwork or building structure. Any damage caused to the structure or paintwork will result in a bill for a contractor to rectify the damage. Please remove & dispose of anything you put up before you leave. Please ensure that anything you put up DOES NOT obstruct or obscure any Fire Exits, Fire Extinguishers, Emergency Lights or Detectors (Smoke, Heat, C.O. or lighting).

  • ALL weapons used onsite MUST be checked & approved by the person in charge of the LARP event inline with standard LARP rules.

  • ALL projectiles of any type used onsite MUST be picked up & removed from site by the LARP group on a daily basis. We reserve the right to charge additional fees for any additional cleaning or site clearance that we have to undertake.

  • Use of The Chapel, The Sleeping Shelters and The Barry Fairman Activity Centre are not included in your booking and must not be used or accessed.

  • If you build structures around the site please allow for their dismantling & removal from site & do NOT fill our bin with them. We reserve the right to charge £100 towards the cost of emptying the skip if this occurs.

Cost

The costs can be seen on our LARP campsite fees page. The cost payable is for a whole site booking, £1,380.00 for the weekend. This is based on the cost of hiring all the buildings and a minimum of 60 people staying overnight. If you have less than 60 people you will still be charged for 60. If you have more than 60 people the price for the booking will increase from the minimum amount by £7.00 per person. Any one coming in for just the day, but not staying overnight, a charge of £2.50 will be added (per person, per day). We also offer catering equipment, a list of available items can be found here. The equipment is hired out at £10 per day, per cabin set, with a £30.00 per set refundable deposit.

A deposit of 50% will be required to confirm the booking and is payable within four weeks of the booking secretary confirming availability or two weeks before your booking (whichever is sooner). Bookings cancelled within 6 weeks of the booking will lose their deposit, see the campsite rules.

A copy of your public liability insurance, valid for the date of your visit, will also be required and MUST be sent BEFORE the camp can take place. NOTE: This MUST be issued to the same group name that you place the booking in.

HOW TO BOOK

The easiest way to book is to use our on-line booking system, Online Scout Manager (OSM). Bookings are accepted on a provisional basis and will be accepted by the booking secretary once the group details have been confirmed.

You will then receive an automatic email, via OSM to confirm your request is available. Once your request has been accepted, you will need to send a 50% deposit by bank transfer for ALL bookings within 4 weeks of confirmation or 2 weeks before your camp (whichever is sooner) in order to secure the booking.
