Your Data on OSM (our booking system)

Online Scout Manager (OSM) is a Third Party company who provide our booking platform. All information entered is covered by their GDPR policy. Your information (Name, number, invoicing address, email address) is held on OSM ready for when you make another booking. Anyone who has not booked on with us in over 2 years will have their details removed however, if you wish for your data to be deleted immediately following your booking please let the Duty Warden know when settling up.

Accident Forms

Any accident that occurs whilst on our site will have an accident form completed, these are held for 7 years and then shredded. If the person injured is under 18 then the forms are held for 7 years following their 21st Birthday before being shredded.

Emergency Contact List

All camping groups are required to complete an Emergency Contact List whilst staying with us. You are required to complete a detachable slip to confirm you have a list of ALL individuals in your group. You must hand this slip to the warden team on duty. You must keep your list safe and accessible at all times. The information is required by the duty warden team and/or the emergency services in the event of an emergency. We may use the in-touch contact details should we need to speak to your home contact, or we may pass on the Emergency Contact List to the Emergency Services/Relevant Authorities should an incident occur that requires their involvement. At the end of your visit you are free to destroy the information.

Making Contact

JLW Staff may use your contact details, provided on your booking, to contact you prior to or during your stay should they need to discuss your booking. We will not pass your details on to any Third Parties but may, should an incident have occurred, pass them on to the relevant authorities.
